The Inspection Express Product Update for March introduces a range of updates across the platform designed to improve security, streamline workflows, and make day-to-day property management easier.

From stronger document controls to better visibility across inspections and portfolios, this Inspection Express Product Update focuses on helping teams work faster, stay compliant, and reduce unnecessary back-and-forth. Here’s a wrap-up of some of the biggest improvements now live.

Pre & Post Inspection SMS (Routines)

For routine inspections, you can now quickly send SMS notifications directly within the app to keep tenants informed.

There are two templates available depending on the inspection status when you tap the SMS button:

  • Pre-inspection SMS is used when an inspection is tentative, confirmed, or in progress
  • Post-inspection SMS is used once the inspection is conducted or finalised

Messages are sent using the device the app is running on, so there are no charges to send. Watch this quick How To Send Pre-Inspection & Post-Inspection SMS video to learn more. This feature is available for routine inspections only.

Overall, this provides a simple way to improve communication and reduce follow-ups while keeping everything aligned with your inspection workflow.

Tenant Actions are Now Available on the Admin Portal

Another major release in the Inspection Express Product Update is Tenant Actions now being accessible via the Admin Portal.

Teams can now review and manage Tenant Actions directly from the web, making it easier to finalise inspections without switching back into the app.

Users can:

  • Edit comments and severity levels on web
  • Add and manage photos
  • Save changes directly in the Admin Portal
  • Continue using the same Tenant Action email templates

Stronger Security for Owner Instructions and Sensitive Documents

One of the most important updates in this Inspection Express Product Update focuses on improving Owner Instructions Security.

To better support privacy obligations and reduce long-term storage of sensitive information, attachments uploaded to Owner Instructions are no longer stored indefinitely. Instead, uploaded files are available for a limited period before being automatically deleted.

Key improvements include:

  • Attachments are no longer embedded into final documents
  • Access is restricted to logged-in users
  • Reminder emails are sent 7 days before files expire
  • Expired files are permanently removed from the system

This ensures teams can still access what they need while reducing risks associated with storing sensitive documents such as proof of identity or ownership longer than necessary.

More secure sharing with passcodes and better link controls

We’ve also improved how finalised documents and report links are shared in this Inspection Express Product Update.

Tracked emails and shareable links now include passcode protection, giving recipients a more secure way to access documents while reducing risks associated with open links.

These updates include:

  • Individual passcodes for each recipient
  • Longer expiry settings and improved sharing flexibility
  • Independent access limits per contact
  • The ability for recipients to request a fresh link once access expires

This applies to finalised documents and report sharing, while tenant workflow completion links remain unchanged. The result is stronger protection without adding extra admin for your team.

More documents now sync back into owner portals and property systems

Several integration updates have also gone live to help keep documents and reports flowing back into your connected systems more effectively. This includes improvements across platforms such as Reapit PM (formerly Console Cloud), PropertyMe, PropertyTree Palace as well as Rentvine for our USA clients.

Integrated platforms now syncing better in Inspection Express Product Update

Highlights include:

  • Paperless Office documents (Leases and Management Authorities) now uploaded into Reapit PM (formerly Console Cloud) inspection reports can now be synced back into owner portals for Palace and ReapitPM. Please contact our support team if you would like this enabled for your account.
  • Leases  now upload to the owners contact in PropertyMe (in addition to the Tenant Contact)
  • Labels for each property in PropertyMe now sync down to the Property Notes, allowing users to view important information about each property within the app.
  • Rent Review date now syncs down from PropertyTree
  • improved handling of report uploads where integration file size limits apply
  • Rentvine inspection creation and report syncing

These updates help reduce manual handling and keep more of your inspection and document activity connected to the platforms your team already uses every day.

Better app performance and easier access to older inspections

We’ve also made improvements behind the scenes to support better app performance.

To reduce sync load and improve speed, the app now stores a shorter local history of inspections on device, while older inspections can be loaded on demand when needed. This helps reduce storage strain and keeps the app moving faster, especially for larger agencies managing high inspection volumes.

Users can load more inspections by tapping “Load More” and any old inspections will be downloaded to the device.

Other updates now live

Along with the major releases above, we’ve also rolled out a number of other improvements across the platform, including:

  • Photo upload in app (up to 50 photos can now be uploaded, previously 9 photos only)
  • Document sharing (longer expiry of 6 or 12 months (10 clicks), with required reason)
  • Tracked email naming updates for easier understanding.
  • Maintenance workflows for non-integrated USA accounts
