We had the pleasure of speaking to Shaun Doyle from Ray White Corporate. Shaun trains and coaches over 600+ property managers in Victoria and Tasmania. He also helps Ray White businesses be more efficient. Shaun shares his insights on the ever changing industry and how apps such as Inspection Express have allowed their business to work more efficiently.

Can you tell us a bit about yourself and your role with assisting ray white offices?

My role is fairly unique in the property management industry. My day-to-day is to assist our 100+ Victoria and Tasmania Ray White property management businesses by increasing their efficiency. I also coach our 600+ property managers in understanding the ever-changing world of property management. (For example, since March I’ve conducted 57 webinars for our network. Thanks, COVID!)

Can you share with us what you think are the benefits of agencies using apps such as Inspection Express?

I’m always looking for ways that offices can increase their efficiency, and Inspection Express does this well. It reduces time spent organising and conduction inspections.

It reduces the costs of printing; it reduces the time of postage and increases the speed to get documents back from clients. And the reports are centrally located and easily accessible.

The technology allows property managers to focus on delivering exceptional customer experiences rather than focusing on redundant administrative tasks.

What are your thoughts on having a paperless office? Can you share with us 2 or 3 ways you can get your office paperless?

I’ve spent the last few years trying to get our offices paperless. Most of our offices changed their ways and made the jump to the paperless office.

Our legislation has also been updated to allow this, and it has become the norm. With the new processes, it has allowed our teams to work remotely and have fewer disruptions for their clients.

Embracing technology more allows you to go paperless; however, you also need to spend time and energy updating the business processes – the old ways of doing things can’t be transferred into a paperless office.

The biggest mistake I see is teams migrate to a paperless office, yet keep their old processes. Rule: New tech = new processes = new efficiencies. Just start with one process at a time, and look at how technology can be maximised to make workflows 100% online.

What do you think are the main issues/obstacles with carrying out Inspections and how does Inspection Express mitigate those issues? 

Some inspection software is a bit clunky, and a lot of property managers don’t have enough time to stay on top of routine inspections.

Inspection Express allows workflows that help property managers streamline their day, and gives them an easy to use interface to track and conduct their inspections.

With the current pandemic we have seen a big change in the way real estate offices are working, with remote working. What are your thoughts on carrying out remote inspections? 

COVID stops us from attending to complete routine inspections; however, with Inspection Expresses tenant facing inspection app, tenants can conduct their owner routine inspections. While this isn’t ideal, it is an excellent solution to a problem we didn’t ask for in COVID.

What do you love about your role and the real estate industry? 

Property Management is a hard job. It’s great to work with our property managers around Victoria and Tasmania to make their lives easier.

I’ve got years of practical property management experience, so its a great feeling for me to be able to share that knowledge with a network of property managers that can reuse my experience rather than going through the learning and mistakes themselves.
